Meeting To Action Agent

Transforms meeting notes into actionable Jira tasks with owners, deadlines, and context, using LLMs to ensure clarity and accountability.

About the Agent

The Meeting-to-Action Agent, developed by ZBrain, is purpose-built to convert meeting transcripts or notes into structured, actionable tasks within execution platforms like Jira. Many teams struggle to translate discussion points into clearly defined responsibilities, often resulting in missed follow-ups, delays, and diluted accountability. This agent bridges that gap by automatically identifying action items, assigning them to the appropriate owners, setting due dates, and embedding contextual information, directly from conversations.

Using large language models, the agent analyzes dialogue to detect task assignments, timelines, and decision points. Once identified, these are transformed into well-formed tasks that are automatically mapped to the appropriate project board, sprint, or workflow within the task management system. It also preserves relevant discussion context to reduce ambiguity and ensure clarity of intent.

This automation reduces manual work, supports accountability, and helps teams maintain momentum after meetings. By translating spoken commitments into visible, organized actions, the agent enhances follow-through, accelerates project progress, and improves team collaboration.

Transcript

[10:02 AM] Laura Jensen
Let’s kick off. First, the status on the Q3 product launch deck. Jake, where do we stand?

[10:03 AM] Jake Martinez
I’ve got the outline ready. I’ll complete the full version by Thursday EOD so Olivia can give it a design pass.

[10:04 AM] Olivia Reynolds
Yep, I’ll block Friday morning to work on visuals—branding, typography, all of it.

[10:07 AM] Laura Jensen
Marcus, you had flagged performance gaps in last quarter’s engagement metrics. Can we pull a comparative report?

[10:08 AM] Marcus Lee
Already started. Should be ready by Monday. I'll include trendlines for the last three quarters.

[10:10 AM] Hannah Brooks
Quick reminder—compliance review for external materials is now a 48-hour SLA. So if we want to go live by the 8th, we need to submit the deck by the 5th latest.

[10:12 AM] Jake Martinez
Noted. I’ll submit a draft to compliance by August 5th, even if it’s not final-final.

[10:16 AM] Olivia Reynolds
Also, the updated pricing sheet is still pending from product. Should I follow up?

[10:17 AM] Laura Jensen
Yes, please ping Jennifer in product ops. We can’t build campaign assets without finalized pricing.

[10:22 AM] Marcus Lee
Unrelated—but our HubSpot workflows have a tagging error. Leads from the new forms aren’t getting assigned properly.

[10:23 AM] Hannah Brooks
I can take that on. Let me check the automation rules today and report back by tomorrow EOD.

[10:27 AM] Laura Jensen
Thanks, Hannah. Also, let’s all drop our Q3 goals in the shared doc by tomorrow—need them before leadership sync on Thursday.

[10:29 AM] Jake Martinez
I’ll add mine after lunch.

[10:32 AM] Olivia Reynolds
Same here. I’ll finish mine after I meet with the creative team.

[10:37 AM] Laura Jensen
Cool. Marcus, can you schedule the next working session for next Tuesday, same time?

[10:38 AM] Marcus Lee
Done. I’ll send a calendar invite right after this call.

[10:42 AM] Hannah Brooks
Do we want to assign a backup owner for the product FAQs update in case we don’t hear from product this week?

[10:43 AM] Laura Jensen
Good call. Olivia, can you own that with Jake as backup?

[10:44 AM] Olivia Reynolds
Sure, I’ll track it and loop Jake in if needed.
